Workflow

The Workflow settings section contains settings regarding base workflow functionalities.

The left hand side menu shows the available settings workflow categories. Settings are displayed according the selected category.

Failover location
The root physical failover location, by default it is located under the Scanshare ProgramData folder.

The location contains all documents which will not be processed and moved out of the processing queue according each workflow failover settings. Each workflow has a different subfolder in the naming convention of Workflow-ID.

Network paths in the form of full UNC paths are allowed as well in this field.

Minimum known form confidence
Set the minimum known form confidence level at engine general level, between 0% and 100%. Default value is 30%.

This level indicates the minimum confidence level to reach to pass a document as a detected form, lower recognition confidence levels will be discarded directly. After the recognition passes the minimum confidence level it will be checked against the specific FreeForm profile confidence level.

Recognition confidence level
Set the recognition confidence level at engine general level, between 0% and 100%. Default value is 80%.

This level indicates the recognition confidence level to reach to consider the current form as being recognized and stop searching for FreeForm profiles.

First page recognition
If enabled recognition will be based on the document first page only, no matter the total number of pages.

By default this setting is enabled and it is the recommended choice because the first page will represent the cover page of a document and the most significative one. Recognizing the first page it is fairly enough to detect a specific form.

When disabled the match is done on all pages of the document which will restrict the profile recognition. Also confidence level will be affected if not all pages are matched.

Trade off
Select the FreeForm engine recognition working trade off between accuracy and speed. Available options are:

  • Accurate
  • Balanced
  • Fast

Use ‘OCR’ engine
When enabled FreeForm recognition will use the OCR engine during the recognition process. OCR engine provides extra information to the form profile by recognizing the text on the form.

Use ‘Barcode’ engine
When enabled FreeForm recognition will use the barcode engine during the recognition process. Barcode engine provides extra information to the form profile by recognizing the barcodes on the form.

Auto cleanup
When enabled FreeForm engine will perform an automatic image cleanup before the recognition process. Image cleanup improves the recognition removing noise and artifacts which may mislead the engine and produce differences in the recognition confidence.

Rasterize resolution
Select the rasterization resolution when operating not native image based format such as PDF. The value indicates the resolution at which the document will be rasterized as an image which will then be used for the recognition. Available options are:

  • 100
  • 200
  • 300
  • 400
  • 600

A higher value provides a better image during the recognition but will be using more system memory and the process will result slower.

ABBYY

Language
Select the language to use during the ABBYY classification process. Multiple languages can be selected by holding CTRL key while selecting the languages.

Please refer to the OCR Appendix chapter for the supported OCR languages.

Mode
Select the classification operating mode between accuracy and speed. Available options are:

  • Fast
  • Quality

Deskew
If enabled an automatic process of deskew will be executed before the classification process. Deskew is meant to correct any skew which might apply during a manual document scanning in order to correct or improve the readability of the image.

Automatic page rotation
If enabled an automatic page rotation will be executed before the classification process. Rotation will be detected automatically based on the natural text orientation.

Warning

If a full image is scanned (e.g. a photo, a picture, anything without any text) automatic page rotation may not detect the correct orientation because the engine is not capable to understand visually the correct orientation.

Deskew and Automatic page rotation may help the classification process by improving the scanned documents before the classification process happens. However bear in mind in certain cases they might produce counter expected outputs if the resulting deskew and page rotation would not be the correct expected one.

Verification

Verification location
The root physical verification location, by default it is located under the Scanshare ProgramData folder.

The location contains all documents which are waiting to be approved / rejected under the verification module. Each workflow has a different subfolder in the naming convention of Workflow-ID.

Network paths in the form of full UNC paths are allowed as well in this field.

Variable save behavior
Select the desired behavior of saving modified variables in the verification process. Available options are:

  • Manual Save
  • Approve & Save
  • Show Both

Manual Save: this is the default option and displays a Save button which is required to be used in order to save the modified variables values. If the document is approved / rejected without saving the variables any values edit will be discarded and not retained.

Approve & Save: displays a button to Approve & Save so that variables are automatically always saved when approving the document, whatever edits have been performed. When using the standard Approve button, instead, variables edits are not retained.

Show Both: this option shows both previous options, either the Save default button to manually save the variables values and the Approve & Save button to approve the documents and automatically always save variables values.

Reject to Workflow
Enter here the name of a Workflow to use as destination of the rejected documents. By default, when this field is empty, rejected documents are going back into the origin Workflow following the false processing route configured, if any, after the source Verification trigger node.

This option will provide an automatic way to create a specific workflow to handle rejected documents with a full custom process.

Info

The name is case sensitive and must match the exact target Workflow name.
